Turn lead-notification emails into Jobber requests automatically
Every website-form or lead-directory email becomes a Jobber client + request with the original message attached as a note. No more copy-paste from your inbox.
Busy-work it kills: someone copies name, phone, address and job details out of "New lead" emails and types them into Jobber. Leads sit unanswered until that happens.
Good fit: 1–15 person shops that get leads by email from a website form, Google, or a lead directory, and run on Jobber*.
What you need
- Jobber on Connect, Grow or Plus (Zapier integration requirement per Zapier's Jobber help article).
- A Gmail inbox where lead emails land, with a consistent subject (e.g., "New form submission").
- Zapier Professional (this Zap has more than two steps; Zapier Free allows two-step Zaps only).
Build it in Zapier (recommended)
- Trigger: Gmail → New Email Matching Search. Search string e.g.
subject:"New form submission" -label:jobber-done. - Formatter by Zapier (optional, 0 tasks): pull the name, phone, email and address out of the email body. Lead emails differ, so test with three real ones.
- Action: Jobber → Find or Create Client. Search by name. If none is found, create it with first/last name, email, phone and address fields.
- Action: Jobber → Create Request for that client, titled e.g.
Web lead – {subject}. - Action: Jobber → Add Note to Request: paste the full email body so nothing is lost.
- Action: Gmail → Add Label to Email
jobber-doneso the search never re-catches it.
Make and n8n versions
Make*: Gmail Watch emails (filter by "has the words") → Jobber Search Clients → router: Create a Client if no match → Jobber Create a Request. Make's Jobber app is a community app (by Maxmel Tech). Make doesn't maintain it, the developer's fees/terms may apply, and you have to register your own Jobber developer app for OAuth credentials.
n8n*: n8n has no Jobber node. Use Gmail Trigger → HTTP Request nodes calling Jobber's GraphQL API (https://api.getjobber.com/api/graphql, OAuth 2.0). This needs a Jobber Developer Center app. Unpublished "custom integration" apps can connect to at most 5 paying Jobber accounts without approval. Developer-level only.
Monthly cost
| Platform | Plan | Est. monthly cost | Assumptions |
|---|---|---|---|
| Zapier | Professional, 750 tasks | $19.99 (annual) / $29.99 (monthly) | ≈3–4 tasks per lead (find-or-create, create request, add note, label). Formatter is free. Covers ≈180–250 leads/mo. ESTIMATE: check task history after week 1. |
| Make | Free (1,000 credits) or Core | $0, or Core (third-party-reported ≈$9/mo annual, unverified) + any community-app fee | ≈4–5 credits per lead; polling checks also use credits. ESTIMATE. |
| n8n | Cloud Starter or self-host | €20/mo (annual) or hosting cost | 1 execution per lead, unlimited steps. |
Limits & gotchas (from the docs)
- Jobber's Create Request always uses the client's first property. Multi-property clients need a manual fix.
- Jobber API limit via Zapier: 2,500 requests per 5 minutes per app/account. Fine for this use.
- If the team member who connected Jobber to Zapier is deactivated, the connection breaks. Connect with the owner's login.
- Matching by name can merge two different "John Smith"s. Review new requests daily for the first two weeks.
